Job Summary:
Responsible for performing various administrative, secretarial and clerical duties. Understands and follows the organization's policies, procedures and standards. Is an independent worker, meeting the day-to-day needs of the director and the department. Participates in the department's and organization’s performance improvement activities.
Duties:- Greets visitors, directs visitors appropriately; maintains the communication flow of the office.
- Demonstrates the ability to be flexible and organized during stressful situations.
- Answers the telephone in a professional manner; screens calls, takes messages, directs calls appropriately.
- Sorts, logs and distributes all incoming mail; identifies mail that needs immediate attention.
- Maintains an organized, efficient filing system. Debrides files according to established department and hospital guidelines.
- Records, prepares and distributes meeting minutes.
- Orders supplies and printing weekly. Assists in cost containment through appropriate ordering and conserving of supplies and equipment.
- Interacts professionally with all visitors, within the department/office and with other departments.
- Transcribes from dictated or written material minutes, memoranda, policies, procedures and reports.
- Accepts other duties as assigned.
- High school graduate or equivalent.
- Previous knowledge of medical terminology required (great role for a care technician looking to step away from direct patient care).
- Must be able to use office software such as Microsoft Word, Excel.
- Must be an organized multi-tasker with strong written and verbal skills.
- Manual: significant manual skills/motor coordination & finger dexterity.
