Job DescriptionThe Property Coordinator reports to the Senior Property Coordinator Scatter Site and works with the program’s operation manager to ready and maintain apartment units for the Scatter Site program. The coordinator communicates and coordinates with property management and building superintendents, oversees apartment repairs, conducts inspections, approves turnovers, and manages furniture replacement. Using Breaking Ground’s Asset Management database and Maintenance Connection, the coordinator manages tenant work orders and addresses client apartment‑related concerns, maintaining accurate records and coordinating schedules with city agencies, landlords and clients to meet inspection standards.
Responsibilities- Develop and maintain effective, professional relationships with landlords, building supers and management companies for buildings that house scatter site clients.
- Ensure apartment turnovers are timely and effective—including freshly painted, cleaned, equipped with keys, working appliances, furniture and activated utility accounts.
- Conduct and maintain records of apartment inspections to ensure units meet Breaking Ground and NYC housing standards.
- Record, track, monitor, and report on repairs through completion.
- Participate in interdisciplinary meetings to address client apartment issues.
- Serve as main point of contact for superintendents and property managers to ensure timely completion of repairs and other required issues.
- Assist staff in the tenant move‑out process by preparing surrender agreements, scheduling move‑outs in resident management software, and communicating changes as needed.
- Support the Assistant Director as needed with lease renewals, client communication and related tasks.
- Perform other duties as required.
- High school diploma or equivalent.
- Strong preference for knowledge of supportive or subsidized housing programs in New York City and prior experience in property management; experience working with special needs populations; experience in facilities‑related positions.
- Facilities/maintenance background with basic repair skills.
- Strong organizational and interpersonal skills; ability to handle multiple high‑priority tasks simultaneously; strong oral and written communication.
- Current and active New York notary preferred.
- Valid NY, NJ, CT, or PA driver’s license with a good driving record as defined by Breaking Ground preferred.
